job description

?1. Act as the point of contact between the executive and internal/external clients
2. Undertake the tasks of receiving calls, take messages and routing correspondence
3. Handle requests and queries appropriately
4. Maintain diary, arrange meetings and appointments and provide reminders
5. Make travel arrangements
6. Take responsibility for the ordering of stationary and office supplies.
7. Produce reports, presentations and briefs
8. Develop and carry out an efficient documentation and filing system
9. Ensure necessary records are maintained that can readily provide current, accurate and accessible information
10. Document minutes of all meetings as directed
11. Undertake mailings and communication as directed
12. Any other duties appropriate to the post
13. Maintain discretion and confidentiality
