Key Job Responsibilities:
● Provide Secretarial support to Top Management.
● Coordinate and organize travel arrangements/itineraries, tickets, transport, foreign currency, VISA arrangements,
hotel accommodation, cab arrangement and related travel documentation.
● Update Calendar/Diary management, interact with both internal and external Executives and Clients, as well as,
Consultants to coordinate and arrange a variety of meetings.
● Compile statistical data and generate complex financial and operational reports.
● Monitoring of Emails, replies and subsequent follow-ups.
● Receive, review & distribute incoming mails after evaluating priority & urgency level.
● Receive and screen phone calls and redirect them when appropriate
● Maintenance of all important/confidential files, documents and personal files of Top Management.
● Maintain utmost discretion when dealing with sensitive topics
● Organizing meetings, attending them including preparation of minutes and distribution
● Preparation of MIS and other reports.
SKILLS & QUALIFICATIONS
Master’s Degree in Business Administration is preferred; Proven ability to work professionally with the public and serve as
a representative of the office with discretion ; Ability to work in a fast-paced and collaborative environment ; Ability to
work flexibly and independently, set priorities, work simultaneously on numerous tasks, use good judgement and initiative,
and meet/exceed deadlines.
KNOWLEDGE & EXPERIENCE
● Should have experience of at least 8+ years as executive secretary for Top Management, particularly reporting to
Managing Director, Executive Director, Promoters of the company.
● Knowledge of office management/administrative support practices and procedures
● Ability to follow instructions well and make decisions with no supervision.
● Should have expert level communication (English, Hindi and Tamil)
● Should be detail oriented and have good organising and time management skills.
● Have the ability to interact with the staff (at all levels) in a fast paced environment, sometimes under pressure,
remaining flexible, resourceful & efficient with a high level of professionalism & confidentiality.
