Process Activities
System Management
Creation of vacancy on the system (ATS - Applicant Tracking System) and managing the requisition end to end (from creation to position closure)
Managing the ATS for JDs and hiring / candidate details (both external sourcing / employee referral)
Sourcing of Resumes
Managing Sourcing through referrals, alumni portal and recruitment consultants
Search for resumes through job portal, job posts, advertisements as per requirement
Check duplication and tag the resumes to open positions
Designing and driving referrals including mailers, SMS campaign and special drives (on approval basis)
Requisite verbal/written communication to the candidates including contacting prospect candidates by appropriate channels
Shortlisting
Pre-screen candidates to determine a profile match as per the 'Basic criteria/CTQ' for all profiles received through different sources.
E-mailing the profiles to Hiring Manager for shortlisting
Follow up with the Hiring Manager (mailers, telephonically) for shortlisting the resumes.
Collect feedback on the CV shared with from the Hiring Manager/Regional HR
Communication to the candidates shortlisted or rejected
Interview Scheduling / Management
Checking the calendar of the interviewer and lining up interviews for them
Freezing the time/calendar for all the recruitment related activities
Follow up and communicate with the interviewer and the Candidates to finalize the slot of the interview
Communicate with the candidate regarding the interview date. Inform the candidate of the list of documents (certificates etc.) to carry for the interview
Engage with interviewer and candidates and organizing the interviews in scheduled slots.
Receiving the feedback and communicating the feedback to the candidates for selection/rejection
Maintaining the feedback in the database for reference and analysis.
Offer and Joining
Communicate with selected candidates about the mandatory documents to be collected
Collect all the necessary documents (educational qualifications, address proofs, experience etc. ) through mails / ATS / hard copy
Validation of all the required pre-joining documents
Pre-joining call to candidate updating him/her about the Venue of Joining, Time of joining, Contact person.
Updating the line manager/regional HR for joining details.
Query Management / Engagement
Coordinate with the candidate on the day of joining as per agreement
Ensuring end to end query management for all Candidates/Employees/Vendors wherever applicable
Tracking and analytics of employees/candidates/vendors queries
Connecting with the candidates at different stages (as defined in the process) to keep engaged
