 Ensure regular connect with RH, Admin head and RHR on a monthly basis/as
and when needed to discuss administration related region updates,
coordination and operations related to employee engagement (Celebrations,
team connects, Outside office meetings), challenges being faced and support
needed, if any.
 Greet and assist visitors entering the office, ensuring a hospitable and
professional welcome.
 Manage office correspondence, including emails, letters, and packages, and
distribute them accordingly.
 Maintain and organize office filing systems (both physical and digital) to
ensure easy retrieval of documents.
 Schedule and coordinate meetings, appointments, and travel arrangements
for office personnel (for NPI launches, BPMs, team offsites etc)
 Assist in the preparation of administrative reports and maintaining necessary
employee related date (example: addresses, contacts)
 Emergency support in regions for employees (Example: maintaining
emergency contacts, repository of insurance linked hospitals, liasoning at
local level)
 Monitor office supplies inventory and place orders when necessary.
 Assist in the onboarding process for new employees including site orientation
and administrative support (eg. Address, parking stickers, workstation,
necessary introduction, access card) and other administrative setup.
 Coordinate with building maintenance and vendors to address office needs.
 Coordinate with IT/concerned team to ensure conference rooms are upto the
mark.
 Plan, organize, and coordinate various employee engagement programs,
events, and activities.(example: festivities, general periodic engagement,
sports)
 Collaborate with HR and leadership to bring in initiatives that support
employees. (example: onboarding new vendors)
 Support in implementing recognition and reward programs.Connect with
agency to print certificates/momentos and close PO for the same
 Close action end to end on Employee transfers (relocations/movers and
packer and stay details)… (presently been done centrally, to be decentralized
by beginning Q2)
 Manage event budgets, negotiate contracts with vendors, and ensure cost-
effective planning. Create Purchase Order, PR and process invoices to
ensure end to end process closure. Oversee event logistics, including setup,
scheduling, and breakdown, to ensure smooth execution.
