The Scheduler is responsible for creating, maintaining, and updating detailed project schedules to support the execution of shutdowns, turnarounds, and maintenance activities. The role involves coordinating with various stakeholders to ensure schedules are accurate, feasible, and aligned with project objectives.
Role Requirements- Bachelor’s Degree in Mechanical Engineering or equivalent.
- 3 to 6 years of experience in shutdown and turnaround projects within the oil & gas or petrochemical sector.
- Proficiency in Primavera P6, MS Office (Excel, Word, PowerPoint), and planning tools. Power BI is an added advantage.
- Strong understanding of maintenance methodologies related to static equipment such as heat exchangers, fin fan coolers, reactors, columns/towers, vessels, drums, heaters/furnaces, air fin coolers, valves, and piping jobs for oil & gas refineries, fertilizer, petrochemical, and process plants.
- Familiarity with project lifecycle, critical path analysis, scheduling, and resource planning.
- Scheduler shall require to take the role of planning engineer also.
- Experience working on the contractor side with major clients in Saudi Arabia is preferred.
- Skilled in preparing method statements, billing documentation, and extra work claims.
- Excellent communication, coordination, and documentation skills.
- Willingness to relocate as per project requirements.
Planning & Scheduling
- Develop and maintain detailed shutdown/turnaround schedules using Primavera P6.
- Coordinate with project engineers, leaders, planning engineers, estimation, and project execution teams to gather schedule inputs to align activity sequencing and milestones.
- Prepare micro-level schedules incorporating client WBS, scope lists, and resource plans.
- Monitor schedule progress, identify delays or conflicts, and highlight risks to the planning lead. Monitor schedule performance, analyze variances, and recommend corrective actions.
- Assist in preparing schedule recovery plans and corrective actions.
- Support the preparation of method statements, progress billing documents, and extra work claims by providing accurate schedule data.
- Maintain project baseline and update schedule reflecting actual progress and changes.
- Ensure schedule compliance with client requirements and company procedures.
- Participate in planning meetings and report scheduling status to management.
- Generate daily, weekly, and monthly look-ahead schedules and progress updates.
- Support resource planning for manpower, equipment, and materials.
- Facilitate planning meetings and communicate schedule changes effectively.
- Ensure compliance with client and company planning/reporting procedures.
- Effectively carry out Pre-TA, TA & post TA activities.
Method Statements & Work Preparation
- Prepare method statements for shutdown activities (e.g., dismantling, inspection, hydrotesting).
- Coordinate with QA/QC and HSE teams to ensure compliance with site standards.
- Assist in preparing job cards and work packs for execution teams.
Progress Monitoring & Billing
- Track actual site progress and update schedules accordingly.
- Maintain progress measurement systems (S-curves, productivity charts, earned value).
- Coordinate with site teams to validate work completion for billing.
- Compile documentation for monthly invoicing and client submissions.
Extra Job Claims
- Identify deviations from scope and raise extra work claims with technical and commercial justifications.
- Document labor, equipment, and materials used for unplanned activities.
- Submit and follow up on Additional Work Requests for client approval and ensure proper documents are maintained and certified for enabling claims.
Client Interface & Documentation
- Attend Pre-bid / Job Explanation meetings, Kick-off meetings, and weekly & daily review meetings – both internal and with the client.
- Submit planning reports, method statements, and claim documents.
- Ensure adherence to contractual terms.
- Ensure effective project closure and maintain comprehensive project documentation.
