Roles and Responsibilities
Statutory Compliance:
- Ensure company compliance with labor laws (PF, ESI, Gratuity, PT, etc.)
- Handle registrations, renewals, and government filings
- Coordinate with consultants and authorities for audits or inspections
- Keep track of compliance deadlines and submit timely reports
Documentation & Recordkeeping:
- Maintain updated records of employee information and statutory documents
- Prepare compliance reports and ensure proper filing of all HR documents
- Support internal and external audits with required data
- Data Privacy and data protection - especially technology data. Implementing awareness trainings, drafting NDA's, comprehensively looking at IT policy, preventing data theft.
Policy & Process Support:
- Help in creating and updating HR policies in line with legal changes
- Ensure all employees are informed about company policies and legal guidelines
- Assist in drafting and issuing compliance-related letters and notices
- Compliance Trainings - Identify e-learning or awareness training on compliance topics like, POSH, e-mail safety, Password safety, Phishing and working on the LAN. Data policy for working on company network etc. Work on the data handling policy of the organization.
- Awareness session on compliance as a topic and the rights and limits of the employee.
- Roll out and implement the data access policy for the organization. This will include the data revoke process as well.
- Draft the authority matrix for the organization for all departments with eth maker checker concept or the 4-eye principle. Include, Finance, procurement, Admin, Quality, Safety, HR, Sales and all other departments.
Coordination & Communication:
- Work with payroll, finance, and external vendors for compliance tasks
- Address compliance-related queries from employees and teams
Qualifications and Educational Requirement
- Graduate/Postgraduate in HR, Business, or Commerce
- 3–5 years of experience in HR compliance, preferably in pharma or biotech
- Strong knowledge of Indian labor laws and statutory regulations
- Experience in managing labor law audits and documentation
- Comfortable working with Excel, HRMS, and compliance software
