Job Summary
We are seeking an experienced and result-oriented Purchase Manager to oversee and manage the complete procurement function for manufacturing, projects, and site requirements. The successful candidate will be responsible for vendor development, sourcing, price negotiation, purchase planning, cost control, quality management, timely delivery, and inventory coordination. The ideal candidate must possess strong technical knowledge of engineering materials and experience in procurement within an HVAC, industrial equipment manufacturing, or EPC environment.
Key Responsibilities
1. Procurement & Purchase Management
Manage end-to-end procurement of materials, components, consumables, and services.
Source and procure materials as per approved Bill of Materials (BOM), engineering drawings, technical specifications, project timelines, and production schedules.
Request, obtain, and analyze competitive quotations from multiple vendors.
Prepare comprehensive comparative statements and negotiate pricing, payment terms, and delivery schedules.
Issue Purchase Orders (POs) and ensure strict compliance with approved commercial terms.
Continuously follow up with vendors to guarantee on-time material delivery.
2. Engineering Material Procurement
Demonstrated experience and domain knowledge in purchasing items across key categories, including:
Sheet Metal & Coils: GI, MS, SS, and Aluminium sheets/coils.
Structural & Fabrication: Structural steel, PP/FRP-related materials, and fabricated components.
HVAC & Air Handling Equipment: Ducting materials (GI, Aluminium, MS, SS, PP/FRP), AHU components, blowers, fans, motors, dampers, louvers, mist eliminators, filters, and filtration media.
Electrical & Automation: Electrical panels, cables, switches, control components, and automation items.
Piping & Hardware: Insulation materials, fasteners, hardware, pumps, valves, piping, and accessories.
Site Tools & Consumables: Project/site tools, equipment, and general engineering consumables.
3. Vendor Development & Strategic Sourcing
Identify, evaluate, and onboard qualified new vendors and subcontractors.
Maintain a comprehensive, updated vendor database.
Perform detailed vendor evaluation based on price, quality, manufacturing capacity, delivery track record, payment terms, and overall reliability.
Develop alternate and backup sources for critical raw materials to mitigate supply chain risks.
Negotiate annual/long-term rate contracts for high-volume items to secure commercial advantages.
Build and sustain strong, long-term relationships with key strategic suppliers.
4. Cost Control & Market Analysis
Drive continuous cost savings through structured negotiation, alternate sourcing, and value engineering.
Track market price trends for raw materials (steel, aluminium, copper), electrical components, and HVAC items.
Identify cost-reduction opportunities without compromising on quality or performance standards.
Maintain historical purchase price records and data analytics for strategic decision-making.
5. Quality & Technical Coordination
Collaborate closely with internal Design, Production, Project, Quality, and Stores teams.
Verify that all purchased materials meet approved engineering drawings and technical specifications.
Coordinate with suppliers to acquire technical datasheets, samples, test certificates, and drawings for client/engineering approvals.
Effectively manage and resolve material quality issues, non-conformances, and supplier rejections.
6. Project & Site Procurement
Manage urgent, high-priority procurement requests for active project sites.
Ensure all site-required materials are delivered strictly within scheduled project timelines.
Coordinate with Site/Project Engineers to forecast and plan upcoming material requirements.
Track critical material path deliverables and proactively report potential delay risks to management.
Arrange local site procurement for project-specific needs when necessary.
7. Inventory & Stores Management
Work with Stores to actively monitor stock levels and minimize working capital lockup.
Prevent over-purchasing through planning against defined minimum/maximum stock thresholds.
Identify, track, and propose liquidation plans for slow-moving and non-moving inventory.
Conduct periodic physical inventory reconciliations in coordination with the warehousing team.
8. Documentation & MIS Reporting
Maintain systematic records of Purchase Orders, quotations, comparative statements, and vendor agreements.
Prepare regular purchase MIS reports, including spend analysis and variance tracking.
Generate monthly price comparison and strategic cost-savings reports.
Monitor open POs, track vendor delivery commitments, and enforce purchase workflow compliances.

On-Time In-Full (OTIF) material delivery performance
Vendor performance index and rejection/NCR rates
Reduction in lead times and emergency purchases

Required Skills & Qualifications
Negotiation & Commercials: Strong negotiation skills, commercial acumen, and deep understanding of contract terms.
Technical Knowledge: Ability to read and interpret engineering drawings, BOMs, and technical specifications.
Domain Expertise: Solid working knowledge of sheet metal, mechanical, electrical, and HVAC components.
Software Proficiency: Hands-on experience with ERP systems (SAP, Tally, or similar) and Advanced MS Excel (VLOOKUP, Pivot Tables, reporting).
Execution & Problem Solving: Excellent communication, coordination, follow-up, and multi-tasking skills under tight project deadlines.
Preferred Candidate Profile
Experience: 5 to 10 years of experience in Purchasing / Procurement within HVAC manufacturing, EPC projects, or industrial engineering sectors.
Background: Prior experience working with HVAC equipment manufacturers, engineering fabrication setups, or industrial EPC contractors is strongly preferred.
Education: Bachelor's Degree / Diploma in Mechanical, Production, or Electrical Engineering (or equivalent experience).
Travel: Willingness to travel for supplier audits, negotiations, and material inspections as required.
