Associate Specialist, SCG Operations - PTS
Role Details
● Role: Associate Specialist
● Team Name: SCG Operations - PTS
● Location: Hyderabad, Telangana
● Work Shift: Night Shift (5:30 PM to 2:30 AM IST)
● Employment Type: Fulltime
Primary Responsibilities:
● Manage the initial post-offer process by monitoring new offers daily, sending welcome
emails, scheduling drug test tickets, and securing candidate resumes in the designated
shared drive.
● Ensure real-time data accuracy by performing daily sweeps (three times per day) on the
Onboarding tracker to capture the latest updates.
● Process all onboarding and HR documentation, including sending ALO Documents,
completing HR & TAPA forms, and initiating required documents via eSignature platforms
like Echosign/Adobesign based on client needs.
● Finalize the hiring process by auditing I9 documents in Equifax, hiring talents within RFO, and
reviewing direct deposit details or issuing instant card instructions based on talent
requirements.
● Ensure full compliance by auditing drug screen results in eScreen, adding the DT screenings
to RFO, and updating all related trackers promptly.
● Initiating background checks in Infomart for aligned accounts and/or sending background
invitations via aligned third-party sites(Hire right, sterling one, First advantage), ensuring all
statuses are current.
● Monitor and review BGV reports from Infomart & FADV, adding information to the handoff
tracker for the Onboarder team, and sending wet/electronic signed authorization forms to
the background team.
● Resolve I9 and compliance issues, which includes working with I9 issues/Lets Chat teams to
manage profile merging, update Business Units (BU’s), and resolve technical issues.
● Proactively manage I9 compliance by pulling reports from Tableau, addressing talents with
expiring National IDs by sending new I9 forms, and coordinating with the onboarding team to
complete Section 2 and ensure compliance closure.
● Oversee mandatory training compliance by generating State Mandated Harassment Training
(SMHT) overdue reports from Tableau, following up with talent to ensure completion, and
coordinating with the SMHT team to troubleshoot any completion issues.
● Process Employment Verification letters and Unemployment claim inquiries, which involves
accurately updating and providing talent work history details (job title, employment dates,
rates, client name, payroll) to the talent or requesting organization.
● Coordinate offboarding logistics by scheduling shipping labels for work equipment pick-up
and drop-off, corresponding with talent (e.g., Kaiser & Cardinal health) via email to facilitate
equipment returns using services like UPS & Fed Ex, and keeping the client updated.
● Administer assignment changes by accepting work orders and revisions in Fieldglass,
updating rate increase and assignment extension information in RFO, and formally
communicating the changes to the talent via email.
● Support client access by creating New User ID (NUID) documents, which include sensitive
talent PII, securely encrypting them with a password, and transmitting them to the client
(e.g., Kaiser) for new user ID creation.
● Manage Kaiser Attendance notification requests by notifying clients in Fieldglass about
talent who are on leave or have early/late logins, and diligently logging these details in the
RFO history for future reference.
● Finalize assignment closures, which requires verifying final hours against the termination
request, obtaining necessary confirmation from Account Managers and recruiters for any
discrepancies, and formally closing the assignment and terminating the talent in RFO.
● Execute various ad-hoc client requests, such as accepting JPMC Drug due diligence and
uploading ALO documents into Vendor tools for clients including State of AZ, Cotality, AEP,
AM, and Bank of America.
● Act as a key operational liaison, working closely with Onshore stakeholders for urgent
requests, participating in new training initiatives, and coordinating with recruiters and
account managers for comprehensive support across onboarding and offboarding
processes.
Required Skills:
● Bachelor’s degree
● Minimum of 3-5 years of experience in HR, compliance, screening, Talent Onboarding, or
other related fields
● Highly proficient in the use of Microsoft Excel (Advanced Level), Query, and Reporting
● Knowledge of Randstad operations and systems is an asset
● Strong verbal and written communication skills
