Key Responsibilities
Calendar & Schedule Management: Serve as the ultimate gatekeeper, managing a complex, fast-changing calendar. Prioritize meeting requests, resolve scheduling conflicts proactively, and ensure the executive's day runs smoothly and efficiently.
Communication & Liaison: Act as the primary point of contact between the executive and internal teams, clients, board members, and external partners. Draft, review, and edit high-quality emails, memos, presentations, and reports.
Travel Coordination: End-to-end planning of domestic and international travel, including flights, accommodations, ground transportation, visas, and detailed itineraries. Provide real-time troubleshooting for travel disruptions.
Meeting Preparation & Documentation: Prepare the executive for daily meetings by gathering background info, creating agendas, and compiling briefing materials. Attend key meetings to take comprehensive notes, track action items, and follow up with stakeholders.
Project Management: Oversee or assist with special initiatives, corporate events, or cross-functional projects led by the executive. Track progress to ensure deadlines are met across departments.
Confidentiality & Data Handling: Manage highly sensitive business and personal information with absolute discretion, integrity, and professionalism.
Expense & Admin Management: Prepare and submit accurate monthly expense reports, manage subscriptions, and handle light personal assistant tasks if required by the executive.
