We are looking for a highly motivated Key User System Specialist to support the Contract Management department within the Service business area. This role will act as the main focal point between local contract managers and the IT department, ensuring smooth end-to-end processes for maintenance of service contract agreements and providing first-level support for system-related issues.

End-to-End support for the creation and management of Maintenance Service Contract Agreements, including:
Contract setup and updates.
Invoicing processes.
Provide 1st level support for incidents and coordinate with IT for resolution.
Own and manage the ITONow ticketing system, ensuring timely resolution and proper prioritization (based on agreed SLAs).
If required, also execute and support with the UAT’s, in alignment with the Key Users or Global Stakeholders
Regularly assist regional teams to ensure proper contract execution and compliance.
Update and maintain master data fields in SAP using mass transactions to ensure data accuracy and consistency.
Act as the focal point between local contract managers and IT for system improvements and troubleshooting.
Regularly contact regional teams to:
Check the status of products and ongoing operations.
Provide support and proactively prevent potential issues.
Act as a key contributor in process improvements and system enhancements, documenting all project ideas and sharing them with the rest of countries/regions to ensure global standardization.
Ensure compliance with internal standards and best practices within Contract management business area.

Key Responsibilities<br />1. Tendering (Pre-Contract Stage)<br />• Study and interpret commercial terms & conditions of EPC tenders for EHV Substation and Transmission Line projects.<br />• Prepare and vet commercial bids, deviations, price schedules, and contractual compliance statements.• Coordinate with Engineering, Estimation, and Finance teams to finalize techno-commercial submissions. 2. Contract Agreement & Post-Award Formalities<br />• Review, negotiate, and finalize EPC Contract Agreements with clients.<br />• Ensure incorporation of all commercial protections, payment terms, LD clauses, PV clauses, tax provisions, and risk mitigation.<br />• Manage contract amendments, addendums, and change orders.<br />3. Billing & Payment Realization<br />• Oversee preparation and submission of RA Bills, Final Bills, PV Bills & VariationClaims.<br />• Ensure timely certification of bills and follow up for payment realization.<br />• Resolve billing disputes with clients and consultants. 4. Price Variation (PV) Calculations<br />• Independently prepare and vet PV Bills based on IEMA and Railway Indices.<br />• Ensure correct application of base indices, weightages, and escalation formulas as per contract.<br />5. Project Insurance<br />• Handle all types of Project Insurance including:<br />o Contractor’s All Risk (CAR)<br />o Erection All Risk (EAR)<br />o Marine / Transit Insurance<br />o Workmen Compensation / Third Party Liability<br />• Coordinate with insurers for endorsements, claims, and renewals.<br />6. Liaison with Key Government Officials<br />• Liaise with DISCOMs, Railways, PSU clients, and Govt. Project Management<br />• Plan, monitor, and control EPC project execution schedules for EHV Substation and Transmission Line works in line with contractual milestones.<br />• Track progress of engineering, procurement, construction, erection, testing, and commissioning activities.<br />• Identify delays, risks, and bottlenecks and initiate corrective actions in coordination with site and HO teams.<br />• Ensure alignment between technical progress and commercial milestones for timely billing and cash flow.<br />• Support preparation of recovery schedules and ensure compliance with approved project timelines.<br />• Review site progress reports and participate in project review meetings with internal teams and clients. 10.
