Role Overview
The EXIM Associate is responsible for end-to-end export-import documentation, domestic and international shipping management, vessel tracking, freight coordination, and customs compliance. This role ensures the seamless, compliant, and cost-effective movement of goods while maintaining accurate records and collaborating across cross-functional teams.
Key Responsibilities
1. Export & Import Documentation
Prepare and verify export documentation, including Commercial Invoices, Packing Lists, Shipping Bills, and Certificates of Origin.
Manage import documentation, including Bills of Entry, import invoices, duty structures, and customs clearance procedures.
Ensure strict adherence to export-import regulations to prevent delays, penalties, or compliance risks.
2. Logistics & Dispatch Operations
Plan and execute domestic and international dispatch activities to meet project and client deadlines.
Coordinate directly with transporters, freight forwarders, clearing agents, and shipping lines for timely pickup and delivery.
Obtain, compare, and analyze freight quotations to select cost-effective logistics service providers.
3. Shipment Tracking & Issue Resolution
Track vessel schedules, ETD, and ETA to keep internal stakeholders informed.
Proactively resolve shipment delays, transit issues, and documentation errors, escalating critical bottlenecks to management when necessary.
Collect, verify, and maintain Proof of Delivery (POD) records for all shipments.
4. Cross-Functional Coordination & Reporting
Liaise with internal teams-including Supply Chain, Accounts, and Project teams-to align shipment timelines and payment processes.
Maintain daily/weekly dispatch trackers, shipment logs, and documentation archives.
Generate reports on shipment volumes, delivery timelines, delays, and logistics expenditures.
