Position Overview: The Lease Administrator is responsible for processing lease documents and managing property requirements for a real estate portfolio of 200+ leases, over 1M SF and an annual rent budget of $27M. The Lease Administrator will monitor every aspect of the lease agreement process. This includes managing the creation of new leases, handling daily administrative duties, and ensuring the proper maintenance and updates of lease activities in accordance with Randstad US internal policies, procedures and guidelines. The ideal candidate should demonstrate excellent organizational skills, a strong aptitude, and the capability to effectively prioritize tasks.
Principal Responsibilities:
Manage and assist with the entire lease review process: Abstraction of new leases, amendments, and license agreements into lease management database. Track, maintain, and process all key lease data, critical dates, dollars and options, including expiration dates, deadlines for option exercises, termination rights, etc.
Evaluate insurance and real estate tax, estimates and reconciliations, Conduct desktop audits of the lease CAM calculations to ensure accuracy and compliance with lease terms. Examine and input landlord lease statements/invoices for rent processing.
Support the Senior Lease Administrator/Portfolio Manager by conducting lease research for pending deals, leasing reports, and/or early terminations as necessary.
Monitor operating expenses, rental increases, sales tax, parking expenses, security deposits
Assist with the maintenance and audit of all real estate transactions and The LeaseCalcs database and audits periodically for accuracy and oversee the documentation repository’s naming conventions.

Education & Qualifications (Required and Preferred):
Undergraduate degree required; advanced/Master degree preferred
3-5 years of lease administration experience
3+ years’ experience with multi-site portfolios
Real Estate field experience in understanding contracts
Demonstrated skills in the areas of lease Desktop Audits/Annual reconciliations.
Proficient with Google Suite tools (Sheets, Slides, Docs)
Proficiency in Tableau is a plus
Knowledge of LeaseCalcs Real Estate database programs a plus (training can be provided if necessary)
Key Competencies:
Manage the lease database guaranteeing 100% data integrity for the abstraction of new leases amendments, and continuous agreements to align with state laws and industry standards
Continuous verification and abstraction of lease data, ensuring the database remains up-to-date as required.
Responsible for vendor set up through ticketing system, as well as keeping property managers and Landlord contact information and insurance certificates up to date.
Oversee leases and amendments for rent commencement, alterations in operating expenses, and changes in ownership.
Review and conduct desktop audits on operating expense payments, reconciliations, billing, and estimates. This entails comparing Landlord calculations to lease requirements and provisions for accuracy.
Prepare and distribute all real estate critical data reports as well as monthly ad-hoc reports.
Ability to analyze financial data and provide insights to management.
Ability to perform financial modeling in Google Sheets
Ability to work independently in a fast paced environment as well as the ability to work cross functional with internal business partners including Real Estate, Corporate Accounting and Finance.
Strong customer service skills and results oriented. Proven problem solving and team building skills.
