Job Summary:
We are looking for a detail-oriented and experienced Import Documentation Executive to manage and coordinate all activities related to import documentation. This is a remote work opportunity ideal for candidates who are self-driven, organized, and familiar with international trade and logistics processes.
Key Responsibilities:
- Prepare, verify, and process all import-related documentation (Invoices, Packing Lists, Bills of Lading, COO, etc.)
- Liaise with shipping lines, freight forwarders, customs brokers, and internal teams to ensure timely and accurate document flow
- Coordinate with suppliers and ensure all pre-shipment and post-shipment documentation is in place
- Monitor shipment status and update internal systems accordingly
- Ensure compliance with international trade regulations and import procedures
- Maintain proper records and filing systems for all import documentation
- Handle documentation audits and assist in resolving discrepancies
- Communicate with finance team for duty payments and documentation for remittances
- Prepare and submit documents for customs clearance
- Track and manage deadlines related to LC (Letter of Credit) and other financial instruments if applicable
Requirements:
- Minimum 2 years of experience in import documentation (preferably in a remote or semi-remote setup)
- Strong knowledge of international shipping terms (Incoterms), LC procedures, and import compliance
- Proficient in MS Office (Excel, Word) and document handling software/tools
- Good written and verbal communication skills
- Ability to work independently and meet deadlines
- Reliable internet connection and home office setup
