Job Description: IP Docketing Specialist
Job Summary:
We are seeking a meticulous and highly organized IP Docketing Specialist to join our dynamic legal team. The successful candidate will be responsible for managing our comprehensive intellectual property portfolio, including patents, trademarks, designs, and copyrights. This role involves extensive use of the Anaqua IP Management system to ensure all deadlines are met, data is accurate, and documentation is systematically handled. The IP Docketing Specialist will also provide crucial support to inventors, internal stakeholders, and the broader patent team, contributing to the smooth operation of all IP-related activities.
Key Responsibilities:
1. Intellectual Property (IP) Docketing & Management:
Manage and docket a wide range of IP documents, including but not limited to Form-1, Form-26, Affidavits, Assignments, Declarations, and Statements of Copyright.
Utilize the Anaqua IP Management system to meticulously track and manage annuity payment deadlines, update filing information, and verify data integrity.
Oversee the entire lifecycle of IP filings within Anaqua, from task creation and document uploading (e.g., Grant Certificates, Complete Specifications) to task closure upon receipt of key documents.
Docket and route all incoming patent-related communications from third parties to the appropriate stakeholders for timely action.
Maintain and update master sheets for all filed and granted patents, designs, copyrights, and trademarks.
Conduct secondary reviews and quality checks on docketed data to ensure accuracy and consistency.
Coordinate with external patent agents and law firms to ensure timely responses and document submissions.
2. Inventor & Stakeholder Support:
Serve as a key point of contact for inventors, providing them with Grant Certificates and facilitating the translation of foreign patents and other IP documents.
Respond to requests from internal stakeholders for information regarding patents, agreements, and corresponding documentation.
Educate inventors on patent filing procedures and documentation requirements.
3. Patent & Administrative Services:
Assist with patentability searches, prior art analysis, and the preparation of patent-related content for newsletters and portfolio reports.
Prepare and maintain monthly Management Information System (MIS) reports and assist in creating draft tracker presentations.
Coordinate the proofreading, formatting, docketing, printing, and couriering of legal agreements.
Manage administrative tasks, including auditing and tracking invoices, procuring stamp papers, coordinating notarization for international filings, and drafting Minutes of Meetings (MoMs).
Provide general administrative support to the patent team, such as handling couriers, photocopying, and scanning.
Desired Qualifications:
A Bachelor's degree in Science, Engineering, or Law.
Previous professional experience in an Intellectual Property (IP) role is highly preferred.
Formal education or certification related to Intellectual Property is a significant advantage.
Proficiency with IP management software, particularly Anaqua, is strongly desired.
Exceptional attention to detail, organizational skills, and the ability to manage multiple priorities under strict deadlines.
