Senior Specialist, Rewards
Position ObjectiveThe Rewards Specialist provides critical support to the NAM Total Rewards team by managing day-to-day administrative operations, performing rewards analysis, and supporting operational and compliance based projects. This role serves as the primary point of contact for internal inquiries, ensuring that requests are addressed timely and in strict adherence to established Standard Operating Procedures (SOPs).
Key ResponsibilitiesProject Work: Support compensation-related projects such as conducting compliance and pay equity studies, supporting HRIS and compensation system implementations (e.g., NAM Workday transition).Conducting monthly FLSA audits and conducting annual research to prepare minimum FLSA salary requirements for the upcoming year across 50 US states. Communicating and facilitating necessary adjustments to remain in compliance.
Support understanding of the performance of local or market assigned rewards programs through requested reporting and analysis.
Ensures employee data records are properly maintained including actioning, expediting changes, and conducting data audits.Coordinating with global rewards teams to ensure proper alignment of incentive tracking within the local systems.
Prepare accrual calculations for tracking and documentation for local LTI programs.
Update training materials and resources for managers and HR teams for the annual merit cycle. Support HR business partners in calibrations and audit submissions.
General data analysis to support the needs of the business.
Market Data Subject Matter Expert: Conduct market data salary survey matching and mapping, including initial profile review, and manage market data to facilitate competitive benchmarking.Lead the participation in annual salary surveys, including the collection, preparation, and submission of internal data to external vendors to keep market benchmarks current. Facilitation of market data analysis.
Review for geographical differential considerations bi-annually.
STI Plan Distribution and Maintenance: Responsible for creation of STI templates for global stretch plans and for distribution and maintenance of the sales incentive plans annually. Managing continued weekly audits to capture any changes and facilitate distributions at that time. Maintains the integrity of the compensation plan alignment within our systems and ensures accuracy.
Approvals: Reviewing and approving personnel transactions as well as new offers and ensuring compliance with the defined guidelines.
Job Documentation Governance: Maintain and organize the legally required internal job description library and central repository to comply with NAM employment laws. Ensure all documents include required elements, up-to-date, and easily accessible to stakeholders.
Inquiry Management: Act as the primary owner of the central Compensation team mailbox. Responsible for responding to daily inquiries in a timely manner and following all prescribed SOPs. For complex queries, proactively collaborate with appropriate team members for guidance to ensure accurate resolution.Triaging the requests to the appropriate parties as necessary
Required Technical and Education QualificationsA Bachelor’s degree in Human Resources, Business, Finance, or equivalent work experience.
2+ years of professional experience in compensation administration or HR operations.
Proficiency in HRIS systems (e.g., PeopleSoft, Workday) and advanced google sheet skills (vlookups, pivot tables).
Required Skills and AbilitiesCommunication: Excellent written and verbal communication skills; able to effectively communicate technical details to a non-technical audience (i.e. users, vendors, management, colleagues) and produce clear and concise written documentation as needed.
AI Proficiency: Aptitude for leveraging generative AI tools, such as Gemini, to streamline common HR and administrative tasks.
Organizational skills: Ability to maintain a high degree of organization and attention to detail when managing documentation and data, including development and updating Standard Operating Procedures (SOPs) and coordinating short-term projects with overlapping schedules.
Relationship Building: Proficient at quickly developing and sustaining close working relationships with partners.
Requirements Gathering: Excellent requirements gathering skills to capture business processes using both existing process documentation and process walkthroughs.
Prioritization: Ability to prioritize, schedule, and complete multiple assigned tasks with overlapping schedules.
Multitasking: Proven ability to manage and execute multiple concurrent tasks and projects efficiently, maintaining focus and high quality of work despite competing demands.
Organizational StructureSupervisory Responsibilities: No direct reports.
Decision Making Authority: Receives guidance and direction from more senior level roles and managers. Works within guidelines and policies. Uses existing policies, procedures or instructions to solve routine or standard problems.
