1. JOB PURPOSE
The resource would be responsible for day-to-day office administration as detailed below. The resource will be responsible for overall repairs and maintenance of all snags and improvements at office including but not limited to Plumbing, Carpentry, Civil, HVAC etc. The resource will be responsible for ensuring that the company has vendors who are providing quality and efficient services at best possible cost. The resource will be responsible for change of vendors where required to ensure company requirements are met and exceeded. The resource will also be responsible for few General Administration work at premises as required. The role will report into Senior Manager - Facility Management. This job is a six-day work from office (Monday to Saturday) schedule.
2. PRINCIPAL ACCOUNTABILITIES
Accountabilities
Major Activities
Contract Management
§ To ensure that all equipment at office are covered under AMC and are working to their optimal condition.
§ To ensure tie up / Agreement / Contract with vendors for conducting quick and efficient repair and maintenance at office premises. To maintain list of such vendors for quick connect as required.
§ To be physical present during the maintenance activities and ensure that vendor is using products of agreed standards and providing desired services levels.
§ To ensure that all safety standards of the company including but not limited to Permit To Work, Tool Box Talk, Safety Scans etc. are performed by the resource along with vendor and their on site representatives.
§ To check Service Reports for inputs from vendors and implement the same at earliest.
§ To ensure that product life is mapped and replacements are processed well before end of life of current product.
Facility Management (BMS / AMC / handling or repairs and maintenance)
§ Will be responsible for day-to-day functioning of BMS, Fire Safety, air conditioning units and other similar office related equipment.
§ Daily check of BMS room, Fire Safety Panels, PA system and all FM related equipment like PAC, UPS, AHU’s etc.
§ Testing of Novec system.
§ Maintaining and updating of Work Instructions for BMS, Novec etc.
§ Maintain list of furniture including chairs / tables etc. and source good vendors for maintenance of the same.
§ Sharing any good practices / improvement in current process.
§ Maintain office equipment like CO2 meter, Lux meter etc. and also ensure to conduct test as per schedules defined by the organization.
Facility Management (Other functions)
§ Waste and Scrap Management
§ Procurement of new requirements / equipment / material for the office premises.
§ Guest House Management
§ Office Parties & Banquets
§ Pest Control
§ Handle any external agencies, matadi, police, fire brigade, local unions etc. as the case may be.
Documentation Support
§ Provide support for ISO 9001, ISO 14001, ISO 45001 and ISO 50001 by maintaining of documents required for these audits.
§ Provide monthly inputs of Electricity and Water units consumed to HSSE and tracking of the same for improvements / controls if required.
§ Obtaining and submission of half yearly Form B to Fire Safety Department
§ Preparing and implementing of AMC and Service Tracker.
§ Prepare and maintain list of Fire Extinguishers with tracking of their Hydrotest / Refill / Service dates.
§ Tracking of faults in the system and implementing improvements / replacements well before system failures.
§ Maintaining and Managing of Snag List and completion timelines.
§ Ensuring timely invoices are received and processed.
HSSE
§ Maintain Mock Drill Calendar and ensure to conduct mock drill and confirm that all FM related vendors including but not limited to Cafeteria, Security and Housekeeping personnel are clear about their role in case of any emergency.
3. SKILLS AND KNOWLEDGE
Educational Qualifications & other requirements
§ Candidate should be Diploma / Degree holder in Electrical / Mechanical Engineering.
§ Candidate should be proactive and positive approach and a quick learner.
§ Candidate should have hands on approach to safety and have handled BMS and Fire safety equipment.
§ Preferable if worked at IT/ITES companies or large corporates.
§ Should have Excellent communication skills (oral and written)
Relevant and total years of Experience
§ Minimum of 5 years of experience in handling BMS / Fire Safety / AMC’s / Repair & Maintenance for offices of 2 lakh sq. ft. and above office space.
