Role OverviewWe are looking for an Operations & Process Excellence Executive to build clear, measurable, and scalable workflows for Stack n Stock, Wolvbot's modular automated fulfillment platform. The role involves process mapping, SOP creation, operational coordination, workflow implementation, trackers, dashboards, and execution follow-up across procurement, inventory, engineering, warehouse, HR, finance, and product teams.
This is a hands-on role for someone who can observe how work happens, identify gaps, create practical systems, and make sure the improved process is actually followed on the ground.
Key Responsibilities
1. Process Mapping & Workflow Improvement
* Study current workflows across procurement, inventory, vendor coordination, engineering handovers, job cards, onboarding, task tracking, and reporting.
* Map current-state and future-state processes with clear owners, inputs, approvals, timelines, and outputs.
* Identify bottlenecks, duplicate work, delayed approvals, unclear ownership, and manual dependencies.
2. SOPs, Documentation & Standardisation
* Create SOPs, checklists, trackers, templates, responsibility matrices, escalation flows, and reporting formats.
* Standardize recurring activities across operations, procurement, engineering, warehouse, HR, finance, and project teams.
* Build practical documentation for purchase requests, vendor comparison, inventory movement, prototype work, handovers, and internal approvals.
* Ensure key processes do not depend only on memory, WhatsApp messages, or individual follow-ups.
3. Systems, ERP / WMS & Workflow Implementation
* Support implementation of ERP, WMS, PLM, project management tools, dashboards, and custom internal software.
* Translate business and operational problems into clear system requirements for the product or technical team.
* Test workflows, identify system gaps, coordinate fixes, and help teams move from scattered manual tracking to structured digital systems.
* Improve adoption by training users, following up, and refining workflows after rollout.
4. Operations Coordination & Execution Follow-up
* Coordinate across leadership, operations, procurement, engineering, fabrication/assembly, warehouse, HR, finance, and product teams.
* Track pending tasks, approvals, purchase requests, job cards, handovers, vendor inputs, and action items.
* Improve visibility across projects through clear trackers, meeting notes, ownership, timelines, and escalation paths.
* Ensure process changes are actually followed by teams on the ground.
5. Data, Dashboards & Performance Tracking
* Build simple trackers and dashboards for purchase request status, vendor response time, material delivery, inventory movement, task completion, issue closure, onboarding progress, and project delays.
* Use Excel, Google Sheets, Power BI, or similar tools to make operations measurable.
* Review recurring issues using data and prepare concise reports for leadership.
6. Continuous Improvement & Startup Execution
* Identify automation opportunities wherever repetitive manual work exists.
* Help reduce errors, delays, rework, dependency on individuals, and unnecessary cost.
* Drive practical improvements suitable for a fast-moving hardware, automation, and fulfillment startup.
* Work with ownership, discipline, and urgency in an environment where processes are still being built.
Required Qualifications & Experience
* Bachelor's degree in Business Administration, Industrial Engineering, Mechanical Engineering, Operations, Supply Chain, Business Analytics, or a related field.
* 1-4 years of experience in process excellence, business operations, process improvement, operations analytics, supply chain, manufacturing, warehouse operations, project coordination, or business systems.
* Strong ability to study a workflow, break it down step-by-step, document it clearly, and improve it practically.
* Strong Excel / Google Sheets skills; ability to create trackers, dashboards, checklists, and reports.
* Good written and verbal communication skills; able to coordinate across multiple departments and follow up consistently.
