Facility Executive –<br />Facility Executive - Soft Services role involves managing various aspects related to facility<br />operations and services.<br />Main Responsibilities:<br />• Site Operations Management:<br />o Monitor and oversee housekeeping-related activities within the facility.<br />o Arrange consumables and supplies for client or VIP visits.<br />o Interface with pest control for pest management activities.<br />o Monitor mailroom operations.<br />o Prepare daily, weekly, and monthly reports.<br />o Collect vendor documents for compliance audits.<br />• Facility Maintenance and Administration:<br />o Take facility rounds to identify and address any issues<br />o Manage the facility team to ensure timely deliverables.<br />o Inspect services regularly to maintain performance standards.<br />o Assist the Facility Manager (FM) in administrative functions, security matters, and<br />other client-related tasks.<br />o Own day-to-day administration, including stock tracker reports.<br />• Vendor Management:<br />o Groom and monitor vendors in real time, ensuring adherence to service level<br />agreements (SLAs).<br />o Conduct background checks for vendors.<br />o Process vendor invoices.<br />• Additional Responsibilities:<br />o Coordinate with space planners for any office moves.<br />o Maintain soft services stores and stocks.<br />o Oversee laundry, gym, spa, and wellness room requirements.<br />o Manage horticulture needs.<br />o Handle sports equipment stock and issuance.<br />o Maintain the asset register.<br />o Ensure timely availability of food and beverage items.<br />o Submit monthly accruals to the FM.<br />o Facilitate vendor staff training and development.<br />o Manage library books and stocks.<br />• Qualifications & Skills:<br />o Qualifications in property, building, or facilities management are preferable.<br />o Excellent people skills and the ability to interact with a wide range of client staff.<br />o Strong organizational and communication skills.<h3>experience</h3>6
