Key Responsibilities
1. Advanced Reporting, Excel & Data Management
- Build & Maintain Dashboards: Create and update complex Excel models, trackers, and pivot tables to monitor key business metrics and project statuses.
- Data Analysis: Clean, organize, and analyze raw data from various departments to extract meaningful insights for the executive.
- Automation: Utilize advanced formulas (XLOOKUP, INDEX/MATCH, nested IFs) and basic macros/VBA to streamline recurring reporting processes.
2. High-Impact Presentation & Slide Design
- Board & Client Materials: Design, format, and polish high-stakes PowerPoint/Keynote presentations for board meetings, town halls, and external stakeholders.
- Visual Storytelling: Translate dense financial, operational, or strategic data into clean, visually compelling charts, infographics, and slide layouts.
- Content Synthesis: Attend meetings to capture key themes and independently draft presentation outlines and narrative flows.
3. Executive Administrative Support
- Calendar & Schedule Management: Dynamically manage a complex, fast-changing calendar, prioritizing critical meetings and protecting the executives time.
- Gatekeeping & Communication: Act as the primary point of contact for internal and external stakeholders, handling correspondence with high diplomacy and confidentiality.
- Travel & Expense Logistics: Coordinate seamless domestic and international travel itineraries and manage monthly expense reconciliation.
- Meeting Facilitation: Prepare agendas, take detailed minutes, and track action items to ensure executive decisions are executed across teams.
