Position Summary
We are looking for a professional and welcoming Front Office Executive to serve as the first point of contact for our organization. You will manage the reception area, handle essential administrative and clerical tasks, and set a positive, high-quality tone for all visitors, clients, and team members.
Key Responsibilities
- Visitor Management: Greet, welcome, and direct guests in a warm and professional manner. Ensure all visitors sign in according to office security protocols.
- Communication Hub: Answer, screen, and route incoming phone calls while taking clear, detailed messages. Manage the central office email inbox and distribute inquiries.
- Mail & Logistics: Receive, sort, and distribute daily mail, deliveries, and couriers. Prepare outgoing packages and coordinate with shipping vendors.
- Administrative Support: Assist various departments with clerical duties including data entry, photocopying, scanning, filing, and basic bookkeeping or invoice tracking.
- Calendar & Facilities: Manage the scheduling of conference rooms, coordinate meeting layouts, and maintain a tidy, organized, and presentable reception area.
- Inventory Control: Monitor office and kitchen supplies, tracking inventory levels and placing orders for replacements before items run out.
