Designation: Import -export Coordinator
Ensure timely clearance and movement of import shipments and timely execution of export
shipments.
Manage TMS planning, including shipment planning, vehicle placement, dispatch
coordination, and follow-up with transporters.
Coordinate with CHAs, transporters, shipping lines, DCs, Finance, and internal stakeholders

to ensure smooth shipment execution.
Track shipment and container movement, including empty container return, and proactively
highlight potential demurrage/detention (D&D) risks.
Verify import/export documents for accuracy and completeness and coordinate with CHA
for customs clearance, BOE/shipping bill filing, NOCs, and checklist approvals.
Manage Duty RPM and Duty Spares submissions and ensure timely completion of related
documentation.
Perform IR (Invoice Receipt) posting for CHA-related finished goods supplier invoices.
Coordinate export documentation, including Commercial Invoice, Packing List, COO,
shipment annexures, and other required documents.
Coordinate with shipping lines for booking, BOL draft validation, and final BOL, and ensure
timely sharing of pre-alert documentation.
Maintain and regularly update import/export and shipment trackers and provide timely
shipment status to relevant stakeholders.
Manage archiving and retrieval of import, export, and spares files.
Coordinate stamp paper and notarization activities, including submission of related bills with
supporting documents.
Coordinate preparation and execution of shipping bonds on stamp paper, obtain required
signatures, and maintain the Bond Tracker.
Support EY bill submissions and Finance-related documentation/activities as required.
Coordinate with relevant stakeholders for FTA/PTA documentation and certificates,
wherever applicable.
Ensure proper maintenance of records and provide required documentation for audits and
compliance.
Proactively identify shipment, documentation, and operational issues and follow up with
concerned stakeholders for timely resolution.
