Responsibilities<h3>Executive & Director Support (Global)</h3><ul><li>Act as a strategic partner to directors: anticipate needs, structure priorities, and translate loose requests into clear, executable actions.</li><li>Manage diaries, schedules, inboxes, and travel logistics across multiple time zones, using automation and rules where possible.</li><li>Handle correspondence, meeting preparation, follow-ups, and stakeholder coordination with professionalism and discretion.</li><li>Track delegated actions across teams, chase progress, and provide clear status updates.</li><li>Lead small projects end-to-end with minimal handholding (timelines, stakeholders, deliverables).</li></ul><h3>AI, Systems & Operations</h3><ul><li>Use AI tools (e.g. Microsoft Copilot, ChatGPT, automation platforms) to:<ul><li>Conduct research and distil insights into concise briefing notes.</li><li>Draft communications, presentations, reports, and internal documentation.</li><li>Build and maintain efficient workflows and digital filing systems (SharePoint/OneDrive with structured metadata).</li></ul></li><li>Create and maintain templates, dashboards, trackers, and operational documents.</li><li>Continuously identify opportunities to improve efficiency, automate tasks, and introduce forward-thinking solutions.</li></ul><h3>HR & Office Management – India Office</h3><ul><li>Support HR and office operations for the India team, including:<ul><li>Assisting with recruitment coordination (job postings, CV screening, interview scheduling, candidate communication).</li><li>Supporting onboarding and offboarding processes.</li><li>Acting as a coordination point for office administration and basic people operations.</li></ul></li><li>Maintain clear documentation, trackers, and processes to support a growing remote and in-office team.</li><li>Liaise between directors and the India office to ensure smooth communication and execution.</li></ul><h3>Communications & Brand Support</h3><ul><li>Support social media research and execution (LinkedIn, Instagram, etc.).</li><li>Assist with light content coordination, research, and scheduling where required.</li></ul>Requirements<ul><li>3+ years’ experience as a PA/EA supporting senior or executive leadership.</li><li>Excellent written and verbal English; confident drafting polished emails, documents, decks, and communicating with stakeholders globally.</li><li>Strong tech-forward mindset:<ul><li>Proficient in Microsoft 365, Microsoft Copilot, SharePoint/OneDrive (including metadata structuring).</li><li>Comfortable with inbox/calendar automation and digital productivity tools.</li></ul></li><li>Demonstrated use of AI tools to enhance research, workflows, or communications.</li><li>Highly organised, able to juggle multiple priorities with rigorous follow-through.</li><li>Experience supporting research and execution, not just administration.</li><li>Discreet, trustworthy, and comfortable working independently while keeping directors fully informed.</li><li>Curious, hungry to learn, and motivated to grow beyond a traditional EA remit.</li></ul><h3>experience</h3>8
