Job Description:
We are seeking a highly organized and proactive Executive Assistant (EA) to support senior leadership in a dynamic and fast-paced environment. The EA will manage administrative tasks, coordinate meetings, and facilitate seamless communication across departments. The ideal candidate will be detail-oriented, capable of handling multiple priorities, and have excellent communication and organizational skills.
Key Responsibilities:
- Calendar Management: Effectively manage the executives calendar, including scheduling meetings, conference calls, and appointments.
- Travel Arrangements: Organize domestic and international travel plans, including flights, accommodation, and itineraries.
- Communication Management: Act as the first point of contact for internal and external communications, screening calls, emails, and other correspondence.
- Document Preparation: Prepare, edit, and review reports, presentations, and other documents for meetings and presentations.
- Meeting Coordination: Plan and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
- File and Record Maintenance: Develop and maintain an efficient documentation and filing system, ensuring confidential materials are securely stored.
- Project Support: Assist in managing various projects, including tracking timelines, coordinating with team members, and providing status updates.
- Client Relationship Management: Liaise with key stakeholders and clients on behalf of the executive, ensuring smooth communication and relationship management.
- Office Coordination: Collaborate with the office staff to ensure the office runs smoothly, including ordering supplies, maintaining equipment, and addressing any administrative issues.
Qualifications:
- Bachelor's degree in Business Administration or a related field.
- Minimum 3-5 years of experience as an Executive Assistant or in a similar role, supporting senior leadership.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time-management skills with the ability to multitask and prioritize tasks.
- Ability to handle confidential information with discretion and professionalism.
- Proactive, self-motivated, and capable of working independently.
- Strong interpersonal skills and the ability to build positive relationships with stakeholders.
Preferred Skills:
- Experience in coordinating travel arrangements and managing complex schedules.
- Familiarity with project management tools and techniques.
- Prior experience in managing administrative functions in a fast-paced environment.
