Reports To: Sr. Manager - Operations Job Summary:We are seeking a diligent and detail-oriented Executive - Operations. The successful candidate will be responsible for managing various operational activities such as Goods Receipt Note (GRN), invoicing, and handling all related tasks concerning the inward and outward movement of materials. This role involves close coordination with the Inside Sales team and Warehouse team. Proficiency in Zoho modules is essential for this position.Key Responsibilities:

 

  1. Goods Receipt Note (GRN) Management:
    • Oversee the creation and management of GRNs for all received materials.
    • Verify the accuracy of received goods against purchase orders and delivery notes.
    • Ensure proper documentation and record-keeping for all incoming materials.
  2. Invoicing:
    • Generate and process invoices accurately and in a timely manner.
    • Coordinate with the warehousing and finance team to ensure proper invoicing.
    • Address and resolve any invoicing discrepancies or issues promptly.
  3. Material Movement:
    • Manage the inward and outward movement of materials, ensuring accurate tracking and documentation.
    • Coordinate with the warehouse team to ensure timely and efficient material handling and storage.
    • Monitor inventory levels and coordinate with the procurement personnel to maintain optimal stock levels.
  4. Coordination and Communication:
    • Work closely with the Inside Sales team to ensure seamless order processing and fulfillment.
    • Liaise with the warehouse team to coordinate material dispatches and deliveries.
    • Maintain clear and effective communication with all relevant departments to ensure smooth operational flow.
  5. System and Process Management:
    • Utilize Zoho modules for managing operational tasks and data.
Ensure data accuracy and integrity within the Zoho system.
    • Identify opportunities for process improvement and implement best practices to enhance operational efficiency.
  1. Reporting and Analysis:
    • Prepare regular reports on operational activities, including GRN, invoicing, and material movement.
    • Analyze operational data to identify trends, issues, and areas for improvement.
    • Provide insights and recommendations to the Sr. Manager - Operations for process optimization.

 

Qualifications:
  • Bachelor’s degree in any stream or a related field to operations and Supply chain management.
  • Experience in operations management, preferably in a similar industry.
  • Proficiency in Zoho modules is mandatory.

  • Excellent communication and interpersonal skills.
