1. Role Purpose
The Head - Inventory is responsible for the overall management, control, accuracy and
movement of jewellery inventory across the organisation.
The role ensures the right products are available at the right locations, inventory records are accurate,

stock is secure, and inventory is managed efficiently while supporting sales, merchandising and
business requirements.
The role will work closely with Sales, Design, Merchandising, Materials, Finance, Stores,
Distribution Centre, IT and Management to ensure smooth inventory operations.
2. Key Responsibilities
I. Inventory Planning & Control
Plan and manage inventory as per business and sales requirements.
Ensure the right product mix and quantity is available across showrooms.
Monitor stock levels and identify slow-moving, fast-moving and non-moving stock.
Plan stock movement between showrooms and the Distribution Centre.
Reduce excess, ageing and non-moving inventory.
Ensure optimum inventory levels without affecting sales.
II. Inventory Accuracy
Maintain accurate records of all jewellery stock.
Ensure physical stock matches system records.
Conduct regular stock verification and reconciliation.
Identify and investigate stock differences, shortages, excesses and errors.
Ensure proper documentation for all stock movements.
Maintain article-wise, category-wise and location-wise inventory records.
III. Jewellery Stock Management
Manage inventory of gold, diamond, platinum, silver and other jewellery products.
Ensure proper tracking of article code, metal, purity, weight, stones, price and other relevant
product details.
Ensure jewellery is classified and maintained correctly as per company standards.
Monitor ageing of inventory and recommend suitable action.
IV. Stock Movement & Distribution
Control movement of stock between:
o Distribution Centre
o Showrooms
o Inventory
o Sales locations
o Vendors / manufacturers
Ensure stock transfers are properly authorised and documented.
Ensure timely movement of products based on sales and showroom requirements.
Monitor stock in transit and ensure timely receipt and system updating.V. Inventory & Merchandising
Work closely with Merchandising and Sales teams to understand product requirements.
Support product allocation based on sales potential, customer demand and showroom profile.
Analyse sales and inventory data to improve product assortment.
Recommend replenishment, transfers and liquidation of slow-moving products.
Support new collection launches and ensure stock availability.
VI. Stock Ageing & Slow-Moving Inventory
Prepare regular ageing reports.
Identify slow-moving and non-moving articles.
Analyse reasons for poor movement.
Recommend transfers, re-merchandising, product changes or other suitable actions.
Work with Sales, Merchandising and Management to improve stock movement.
Ensure ageing inventory is regularly reviewed and actioned.
VII. Stock Verification & Audit
Establish a regular stock-checking process across all locations.
Coordinate physical stock verification and reconciliation.
Ensure proper controls for high-value jewellery.
Support internal and external audits.
Investigate inventory discrepancies and implement corrective action.
Ensure audit observations are closed within the required timelines.
VIII. Inventory Security & Controls
Ensure strong controls over high-value jewellery inventory.
Establish proper procedures for stock receiving, handling, storage, transfer and return.
Ensure restricted access to inventory areas.
Monitor stock handling and movement to minimise loss, damage or misuse.
Ensure all inventory transactions are authorised and recorded.
IX. Vendor & Product Receipt Coordination
Coordinate with vendors, Materials, Procurement and Manufacturing teams for receipt of
finished products.
Ensure products received are checked against approved documents and orders.
Coordinate with Design / Merchandising for quality and design-related issues.
Ensure rejected, defective or incorrect products are properly recorded and returned or
corrected.
X. System & Data Management
Ensure all inventory transactions are accurately updated in the ERP / inventory system.
Work with IT to improve inventory systems and reports.
Ensure proper article coding and master-data accuracy.
Identify system errors and ensure timely correction.
Develop useful inventory dashboards and MIS reports.
XI. Reports & MIS
Prepare daily, weekly and monthly inventory reports as required.
Report on:
o Total inventory
o Stock by showroomo Stock ageing
o Slow-moving stock
o Fast-moving stock
o Stock transfers
o Stock discrepancies
o Inventory value
o Stock availability
o New product movement
Present inventory performance and key issues to Management / ELT.
XII. Team Management
Structure and manage the Inventory team.
Allocate work based on skills, workload and business requirements.
Set clear responsibilities and performance standards.
Monitor team productivity and accuracy.
Train the team on inventory procedures, jewellery handling and system processes.
Ensure discipline, accountability and timely completion of work.
Identify training and development needs.
XIII. Process & SOP
Develop and maintain Inventory SOPs.
Ensure standard processes are followed across all showrooms and inventory locations.
Continuously review and improve inventory processes.
Reduce manual errors and unnecessary duplication.
Introduce better systems and controls for efficient inventory management.

Control inventory-related operating costs.
Reduce unnecessary movement, handling and storage costs.
Minimise losses arising from errors, damages and poor inventory planning.

company policies, audit requirements and statutory requirements.
Ensure proper documentation for stock movement and records.

Experience in managing inventory across multiple locations / showrooms. Experience in jewellery stock reconciliation, audits and inventory controls will be preferred.
