Calendar Architecture: Designing and protecting the executive's schedule, ensuring priorities match strategic business goals rather than just reactive requests.
Meeting Preparation: Organizing agendas, briefing materials, slide decks, and pre-meeting context so the executive arrives fully prepared.
Action Tracking: Attending key meetings to capture minutes, assign action items, and follow up with team members on deadlines.
2. Strategic Communication & Gatekeeping
Inbox & Gatekeeping Management: Screening, triaging, and drafting responses for incoming emails and inquiries; determining what requires the executive's direct attention vs. what can be delegated.
Internal Liaison: Serving as a primary point of contact between executive leadership, board members, direct reports, external clients, and external stakeholders.
Confidentiality: Handling highly sensitive communications, HR issues, and board materials with discretion.
3. Project & Operations Support
Special Projects: Owning cross-departmental initiatives, research projects, or leadership team off-sites end-to-end.
Board & Leadership Coordination: Coordinating board meetings, drafting board packs, managing timelines, and ensuring compliance materials are distributed on schedule.
Staff Alignment: Acting as a sounding board, identifying operational bottlenecks, and ensuring team alignment with executive goals.
