Job Summary:
We are seeking a proficient and organized Executive Assistant to support the Managing Director with various administrative tasks. The ideal candidate will have 4-5 years of experience in a similar role, demonstrating excellent communication skills and the ability to manage travel arrangements, meetings, and calendar schedules efficiently.
Key Responsibilities:
Administrative Support:
- Assist the Managing Director in day-to-day administrative tasks.
- Handle confidential information with discretion.
- Manage document filing, record-keeping, and other clerical duties.
Meeting Coordination & Calendar Management:
- Schedule and coordinate meetings, appointments, and conferences.
- Prepare meeting agendas, take minutes, and distribute them to relevant stakeholders.
- Ensure timely follow-ups on action items from meetings.
Travel Management:
- Arrange domestic and international travel, including flights, accommodation, and ground transportation.
- Manage travel expenses and process reimbursements.
- Ensure the Managing Director’s travel itinerary is up-to-date and accessible.
Communication & Liaison:
- Serve as the point of contact between the Managing Director and internal/external stakeholders.
- Draft, review, and manage correspondence on behalf of the Managing Director.
- Coordinate with various departments and external partners as needed.
Information & Solution Management:
- Efficiently gather information from the internet or relevant stakeholders to address various queries and requirements.
- Provide quick and effective solutions for administrative issues.
Miscellaneous:
- Manage memberships, subscriptions, and ensure timely payments for cards and services.
- Perform other duties as assigned by the Managing Director.
Qualifications:
- Bachelor’s degree or equivalent experience.
- 4-5 years of experience as an Executive Assistant or in a similar administrative role.
- Strong organizational and time-management skills.
- Proficient in using MS Office Suite (Word, Excel, PowerPoint).
- Excellent written and verbal communication skills.
- Ability to handle multiple tasks simultaneously and work under pressure.
- Discretion and confidentiality in handling sensitive information.
Preferred Skills:
- Experience with travel management and booking systems.
- Familiarity with calendar management tools and practices.
- Problem-solving skills and the ability to find information quickly and efficiently.
